Payment, Deposit & Booking Transfer Policy

1. Purpose

This Payment, Deposit & Booking Transfer Policy forms part of the booking agreement between Dayspring Hub, trading as myRESETworld (“the Company”), and every participant (“Participant”) who books a myRESETworld retreat, conference, event or wellbeing experience.

By making a booking or paying a deposit, you acknowledge that you have read, understood and agreed to be bound by this Policy.

2. Non-Refundable Deposit Policy

To secure your place on any myRESETworld retreat, conference or wellbeing experience, a non-refundable deposit is required at the time of booking.

Your deposit enables us to immediately reserve accommodation, secure venue commitments, engage suppliers and commence planning your personalised experience. As these commitments and costs are incurred on your behalf from the point of booking, all deposits are strictly non-refundable.

This applies in all circumstances, including but not limited to:

  • Change of personal circumstances
  • Illness or injury
  • Pregnancy
  • Change of employment
  • Financial hardship
  • Family commitments
  • Visa refusal
  • Travel disruption
  • Failure to obtain travel insurance
  • Personal preference
  • Choosing not to attend

If myRESETworld cancels an event for reasons within our reasonable control, you will be offered one of the following options:

  • A full refund of all monies paid; or
  • The opportunity to transfer your booking to an alternative myRESETworld event, subject to availability.

Where an event cannot proceed due to circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government restrictions, industrial action or other Force Majeure events, refunds and transfers will be managed in accordance with our Force Majeure Policy.

We strongly recommend that every participant purchases comprehensive travel, medical and cancellation insurance immediately upon confirming their booking.

3. Instalment Payment Plan Policy

To make our wellbeing experiences more accessible, myRESETworld may offer approved instalment payment plans for selected retreats and events.

An instalment plan is provided as a payment convenience and does not constitute a credit agreement.

By selecting an instalment payment plan, you agree to:

  • Pay each instalment by the agreed due date.
  • Ensure sufficient funds are available for scheduled payments.
  • Keep your contact details accurate and up to date.
  • Notify myRESETworld promptly if you anticipate any payment difficulties.

Your booking will remain confirmed only while your payment plan remains up to date.

Should an instalment become overdue, myRESETworld reserves the right to:

  • Issue payment reminders.
  • Suspend access to participant communications or booking information where appropriate.
  • Cancel your booking where payment remains outstanding after reasonable notice has been provided.

Unless otherwise agreed in writing, the full balance must be received by the published final payment date.

Failure to pay the outstanding balance by the due date may result in cancellation of your booking. In such circumstances, any monies already paid, including your non-refundable deposit, may be retained to cover administrative costs and contractual commitments already entered into on your behalf.

Where genuine financial hardship arises, we encourage participants to contact us as early as possible. Although amendments cannot be guaranteed, requests will always be considered fairly, compassionately and at the Company’s sole discretion.

4. Booking Transfer Policy

We understand that unexpected circumstances may prevent a participant from attending an event. Subject to this Policy, bookings may be transferred to another individual.

Booking transfers are subject to the following conditions:

  • The replacement participant must satisfy any eligibility requirements for the event.
  • The replacement participant must complete all registration forms, health questionnaires, consent forms and any other required documentation.
  • Any outstanding balance must be paid in full before the transfer is approved.
  • Transfers are only confirmed once written approval has been issued by myRESETworld.
  • Requests submitted after the published transfer deadline may not be possible due to accommodation, venue or supplier commitments.

Any costs arising from the transfer, including accommodation amendments, supplier administration charges or transport changes, shall be the responsibility of the participant requesting the transfer.

Bookings cannot be transferred to another retreat, another date or another package unless expressly agreed in writing by Dayspring Hub.

5. Company Discretion

At myRESETworld, compassion, integrity and fairness are central to everything we do.

While these policies are designed to protect both our participants and the long-term sustainability of our events, we recognise that exceptional circumstances may occasionally arise.

Accordingly, Dayspring Hub reserves the absolute discretion to consider individual requests on a case-by-case basis.

Any exception granted shall be entirely discretionary and shall not constitute a precedent or create any future entitlement for any participant.

6. Acceptance of this Policy

By paying a deposit, entering into an instalment payment plan or completing a booking with myRESETworld, you confirm that you have read, understood and accepted this Payment, Deposit & Booking Transfer Policy, which forms part of your contractual agreement with Dayspring Hub.

  • Technical information such as device and browser type, IP address, and basic website usage data needed to keep the site secure and reliable.
  • Any health, dietary, accessibility or emergency information you voluntarily provide for an event.

5. How we use your information

We use personal information to:

  • Respond to enquiries and provide customer support.
  • Manage retreat reservations, deposits, instalments and balance payments.
  • Send booking confirmations, reminders and important event updates.
  • Meet legal, safeguarding, accounting and health & safety obligations where applicable.
  • Protect the website against misuse and keep our systems secure.
  • Improve our services and visitor experience, where permitted by law.

Where we rely on consent, for example optional marketing communications, you may withdraw that consent at any time.

7. Who we share information with

We only share personal information with trusted service providers who help us operate myRESETworld, and only as needed to deliver their services. These currently include:

  • Vercel for website hosting.
  • Supabase for secure storage of reservation and related records.
  • Stripe for payment processing.
  • Resend and Zoho Mail for transactional and enquiry email.
  • Sanity for website content management where applicable.

We may also disclose information where required by law, to protect the rights or safety of participants, or in connection with a reorganisation of Dayspring Hub. We do not sell your personal information.

8. How long we keep information

We keep enquiry and booking information only for as long as needed to manage the relevant relationship, meet legal or accounting obligations, resolve issues, and maintain appropriate records. We then delete or anonymise it where practical.

9. Keeping information safe

We use access controls and trusted service providers to protect booking and enquiry data. No online system can promise absolute security, so please avoid sending unnecessary sensitive information through a general contact form.

10. Cookies and similar technologies

Our website uses essential cookies and similar technologies needed for security, session management, and basic site operation. We may also store a local preference when you acknowledge this Privacy Policy through the website consent notice.
